Two accounting quotes can look very different, even when both firms say they offer monthly bookkeeping. One may cover a few accounts and basic reports. Another may include payroll support, more frequent communication or a separate annual tax return. Comparing the monthly price without comparing the work can leave you with the wrong impression.
The useful question is simple: what will this accountant handle, and what will still be your responsibility?
If you are looking for a business accountant, start with the services your business actually needs. You may need ongoing accounting, help with one specific task, or a combination that changes as the business grows.
Put the same work in front of each accountant
A meaningful quote starts with a clear picture of your business. Tell each firm how many business entities you have, which bank and credit card accounts you use, whether you have employees and how you receive customer payments.
Also explain the condition of your records. Current books that need regular maintenance are different from six months of transactions that have not been reviewed. A quote based on clean records may change if substantial catch-up work is required.
You do not need to diagnose every bookkeeping problem yourself. Your prior-year business return and recent financial reports give the accountant a starting point for identifying the work and explaining the fee.
Separate recurring work from one-time work
Ask which services repeat each month and which are separate projects. A useful comparison might include:
- Bookkeeping and reconciliation of the agreed accounts.
- Financial reports and the frequency of delivery.
- Payroll processing or management through your payroll provider.
- Sales tax filing support, where applicable.
- Business and personal tax return preparation.
- Initial setup, catch-up bookkeeping or corrections to earlier periods.
These services do not automatically come together. A monthly bookkeeping fee may exclude the business tax return. A business tax return fee may exclude the owner’s personal return. Neither arrangement is necessarily wrong, but you should understand it before deciding.
Software subscriptions can also be separate. Ask whether the quote includes them, whether you pay the provider directly and whether managing that system carries an additional service fee.
Ask what communication is included
Having reports is useful. Knowing whom to ask about them matters, too.
Find out how routine questions are handled and what kind of discussion is included. Are reports delivered with an explanation? Is a scheduled review part of the agreement? If you need additional analysis, how will that work be quoted?
Avoid assuming that “support included” means unlimited advice on every business decision. A clear agreement protects both sides and makes it easier to ask for help without wondering what happens next.
Find out what could change the fee
Your business may add employees, open another location or begin selling through another platform. Those changes can create work that was not part of the original quote.
Ask how changes in scope are handled. Ideally, you should understand what is being added and the associated fee before the additional work begins. Also ask whether the initial price assumes you will supply records and answer questions on an agreed schedule.
A useful estimate explains its assumptions. A low number with no explanation gives you less to compare.
Choose the support you need now
You do not have to buy every available service to work with an accountant. Some businesses need bookkeeping and annual returns together. Others already have reliable payroll support and only need help with accounting and taxes.
At Go Tax Dude, we discuss the services your business needs and explain the scope and price before you decide whether to proceed. Support can be arranged around selected services or a combination of business accounting, payroll and tax preparation.
